Position Overview
Enrollment Specialists own the earliest stage of our enrollment process — the critical bridge between a potentially eligible candidate and an actual clinical trial participant. Our on-site teams identify the right candidates; Enrollment Specialists move them forward fast and keep them engaged until they reach their first screening visit for an industry-sponsored study (a trial funded by a pharmaceutical or biotech company).
This is not an administrative support position. Enrollment Specialists carry measurable conversion targets, work shoulder-to-shoulder with site enrollment leadership across our network and are a primary driver of whether a newly launched study starts screening in days rather than weeks.
Your performance is tracked through clear, visible dashboards and reviewed regularly with enrollment leadership. You are accountable for:
Scheduling: meeting your site's monthly targets for scheduling candidates ahead of study screening, by therapeutic area
Screen generation: meeting your site's monthly target for candidates who reach a screening visit for an industry-sponsored study
Speed to first screen: averaging a first screening visit within 5 days of a study's launch
Follow-up: completing outreach and follow-up tasks within 3 days of their due date
Data integrity: timely, accurate, and confidential record-keeping in our CRM and clinical trial management system, compliant with company standard operating procedures (SOPs) and regulatory requirements
Key Responsibilities
Work your daily outreach queue: review newly identified, potentially eligible candidates and prioritize outreach by study need and candidate fit
Call, text, and respond to inbound inquiries from prospective candidates — you are their primary point of contact from initial pre-screening through their first screening visit
Re-verify candidates against active study criteria and route them to the right study and site
Book screening visits, confirm appointments, arrange transportation, and proactively troubleshoot anything that would keep a candidate from showing up
Search our candidate database to identify people who may qualify for new and upcoming studies
Build and run outreach campaigns to re-engage candidates already in our database, tracking outreach, responses, and resulting screening visits
Assign and follow up on tasks for enrollment clinicians and coordinators; chase open items to closure rather than handing them off
Submit and track medical record requests, following up with providers and candidates until records are in hand
Log every interaction, task, and outcome in Salesforce
Join weekly enrollment calls; come prepared with pipeline status, blockers, and what you need from the sites
Report on your own numbers weekly — outreach volume, conversion, follow-up timeliness, and screens generated
This role is highly collaborative and deeply site-facing. Expect daily interaction with site enrollment leadership and the coordination teams that support day-to-day site operations.
Serve as the central connective point between site enrollment teams and the broader candidate pipeline
Provide targeted support to sites working to close gaps against weekly and monthly screening goals
Surface pipeline risks, bottlenecks, and database opportunities to enrollment leadership in real time
Support training and readiness as new studies, therapeutic areas, and sites come online
Qualifications
Exceptional verbal and written communication, with real skill at building rapport and trust quickly by phone and text
Persistence and drive — you follow up, and you do not let a promising candidate go cold
Comfort being measured: this role has clear, visible targets and you will own your numbers
Strong organizational and prioritization skills across many studies, sites, and candidates at once
Sound judgment and discretion handling sensitive health information
Proficiency with Microsoft Office and comfort learning CRM/clinical trial management platforms (e.g., Salesforce, CRIO)
Prior clinical research, healthcare, patient navigation, or high-touch customer-facing experience preferred
Pay: $37-62K salary commensurate with experience
